As an Office Manager, you will play a critical role in managing the workplace experience and fostering a positive environment for our team. We are looking for an individual who is not only proactive and organised, but also thrives in a dynamic environment. 

Your primary focus will be ensuring the smooth operation of our office on a day-to-day basis, with an emphasis on providing exceptional support to all members of our organisation. This role offers an opportunity for someone passionate about people and culture to make a significant impact as we embark on an exciting phase of growth. Being based in Cicada Innovations means you will work closely with both the Quantum Motion team and the Cicada team on a daily basis.

Functions of the Role

Office Management

  • Serve as the primary point of contact for visitors by providing a warm welcome and directing them as needed

  • Manage purchases from external vendors, ensuring all the contracts are in place and properly executed

  • Maintain accurate employee and department directories

  • Administer Work Health & Safety (WHS) records using our compliance software 

  • Maintain security protocols by following procedures and monitoring access

  • Liaise with innovation hub team

  • Collaborate with the London head office


Administrative and Ad hoc Support Tasks 

  • Prepare and input documents into various systems, including memos, letters, reports and purchase orders 

  • Handle photocopying, scanning and mail processing as required

  • Assist with basic book-keeping tasks, including invoice processing and maintaining the holiday register

  • Oversee and/or support the preparation of events that the team are hosting. 


Employee Experience 

  • Contribute to a seamless team experience by supporting various initiatives 

  • Coordinate new employee onboarding, ensuring they have the necessary equipment and resources

  • Liaise with internal staff, managers and external stakeholders to ensure effective completion of tasks

  • Ensuring the supplies within the office are fully stocked

Experience - Essentials
  • Excellent communication skills, both verbal and written

  • A proactive, independent, and collaborative approach to work

  • Strong organisational skills with meticulous attention to detail

  • Ability to multitask and prioritise tasks effectively

  • Proficient problem-solving abilities and adaptability to changing situations 

Experience - Desirable
  • Previous experience in project management would be advantageous

  • Previous experience working in a start-up environment
